Preliminary analysis
The first step in implementing an ERP solution is to understand the company’s goals in business management and focus efforts on improving business processes and procedures that will be integrated into IT.
It is essential that both the implementor and the user fully understand what is being attempted through this project and with what costs: time, money and human resources. It is also necessary to consider the return on investment, the details of the project and the communication plan for all users involved: top management, operational management, all staff members at all levels of the organization, sponsors, etc.
Another very important aspect is the correct and complete design of the IT system for a particular organization; the correct definition of the peculiarities is a condition for the success of the project.
Implementing an IT system project that has an ERP application in the center requires a consistent staffing process based on a test version of the application with real company data. The test environment chosen will simulate how management will control your business with the ERP application. This stage allows future users to get an accurate idea of how to show and use the program and get familiar with the interface.
- studying the functioning of the business
- identifying and describing the implementation goals and expectations of the future user
- analysis of specific user requests
- GAP Analysis – Evaluating the differences between real performance and the potential performance of the IT solution
- adjusting the IT solution to the optimal version
Analysis and adaptations
The phase of analyzing the process of implementing an ERP solution is vital to the success of the project. It takes time and a thorough knowledge of all company operations.
Analysis of processes and procedures that compete with the normal operation of a company provides vital conclusions about the extent to which an IT system can ensure consistency between the business objectives set by the management and the capability of the ERP system to ensure the smooth running of the procedures in order to achieve the two P – profitability and productivity.
In order to be able to cope with the full implementation of an ERP application, it is necessary to start with a standard ERP software solution that is more suited to the company’s objectives. This solution will then be modeled to generate a perfectly tailored work instrument.
Hardware configuration is another key element in analyzing ERP deployment, through the core role that networks, servers and mid-range systems have in supporting the company’s IT infrastructure.
Information management plays a leading role in the analysis, as it includes the sampling of procedures, testing and extracting database information, forms and documents used to explain data management and environmental performance procedures.
During an analysis prior to the implementation of an ERP application, managerial information is required for the evaluation and procedures for approaching ERP system planning strategies. Here are included as sources of information: annual budgets for hardware, software and personnel, cost analysis, depreciation and fixed asset ratios.
In order for the analysis to be complete, the final user’s contribution is needed. It guarantees the evaluation of the efficiency of the system in terms of accomplishment of the tasks in a reasonable time, insofar as the participation of the end user is systematic and consistent, contributing fully to the realization of the final solution project.
The incorporation of this Enterprise Resource Planning (ERP) project is based on a modular-oriented GAP analysis.
Information about existing and proposed organizational structures should be discussed during the ERP acquisition process as it is a decisive factor in choosing the right package.
Steps to follow in documenting the operational and financial structure:
- Collaborating with company management to understand existing structures and what needs to be done to get the necessary structures
- Establish a graph of the current organizational structure
- Shaping an overview of the company
- Define and draw a graph of the financial operating environment
- Defining the management environment and financial reporting
Implementing the ERP solution requires a thorough, comprehensive analysis of all available modules by reporting them to the company’s specific needs. Depending on this, the next step will be taken, which involves adjusting the program, setting it up or developing new, customized features.

Extended support program
The Extended Support Program for the WinMENTOR ENTERPRISE package includes maintenance and technical support.
MAINTENANCE
New versions of the programs: WME customers who have opted for an Extensive Support contract, benefit from all patches, updates, upgrades, enhancements, revised versions, with upgrades related to legislative updates and / or added functionality, following the current version of the WinMENTOR ENTERPRISE program package and issued during the duration of the Extended Support Service’s validity, free of charge.
- New versions can be downloaded from work sites: www.wme.ro, ftp.winmentor.ro or ftp2.winmentor.ro, or any other website of the producer.
Bug Fixing:In case of verifiable and deterministic programming errors, customers receive support for bug reporting and correction.
- Once bugs have been corrected, the solution may be temporary (eg, intermediate executable), or as a new version of the programs, including possible configuration and usage instructions for implementing the bug fix.
TECHNICAL SUPPORT
Immediately after the end of the program implementation period, customers receive technical support by email and telephone (through on-demand remote support solutions).
